My Special Event can help your workplace organise and set up a Corporate Event for your employees or perhaps a “special” client.
The organisation and planning are similar to planning for a wedding with a client, however, the difference may be that the client has a definite idea of what type of event they would like organised.
This sometimes makes the planning of it a bit more straightforward compared to a wedding.
Corporate Events – What types?
There are a number of corporate events that can be arranged by My Special Event including some of the following:
- Business Receptions – including Breakfast for clients
- Promotional Events for business – perhaps a new startup or a special promotion that the business is running to attract newer clients
- Business Charity Events – A team of employees or an employee would like to raise money for a charity by holding a fundraiser at the office and would like help with the planning
- Business Seminars and Conferences
- Training Events – Team Building Days for staff
Corporate Events – How much planning is involved?
The simple answer to this is My Special Event can be involved as much or as little as you would like them to be. Corporate Events, however, can be very “specialist” at times and there may be some areas where My Special Event may have to pass the planning onto another company with a different skill set.
My Special Event would start by offering the client a FREE 1 Hour Consultation. This would take place either at the client’s office or at a location suitable for both My Special Event and the client.
During this consultation, My Special Event would discuss with the client the ideas they have and devise a timetable in accordance with what’s required and what’s needed.

Mileage Costs for meetings (except the initial meeting and on the day of the event this is included in the hourly cost to the client) | £0.45p Per Mile |
At the initial consultation, My Special Event and the client can discuss the budget for the event and then My Special Event will offer an estimate of proposed costs for organising the event. This is only an estimate as extra costs may be incurred depending on requirements and availability of services.
Any payments should be made to My Special Event by BACS transfer (bank details will be given on the invoice when sent to the client). A receipt of payment will be given as a record of all payments received and no PayPal payments, Cash or Cheques will be accepted unless prior agreement has been made. A deposit of £150.00 will be required to secure the booking, along with a signed contract.
Any late payments will incur a late payment charge of £15.00
Different Types of Events – Corporate
Team Building / Training Days
Training days and Team Building Days are often referred to as “workshops” and they are a way that employees can participate in practical learning within the company. There is also some theoretical learning for the employees, as they are there to learn and have fun, not just have a “FREE” day off work !!!
Each timetable for Corporate Training days is different. A lot of factors need to be considered, how much training is going to be covered, how many breaks are there throughout the day and how long the day will be for the employees.
When planning times for the day, consideration has to be given to employees who travel, especially if the event is taking place outside of the office.
Timetable things to think about
- Start and finish times
- Opening and closing sessions – Introducing the training session to the employees, telling them what they are going to learn and do for the day. Ending the day with another session, summing up the progress made and what has been learnt, offering a chance for feedback
- How long each activity is going to take and allowing enough time for different activities depending on their requirements and level of difficulty
- Tutors/ teachers/ speakers and those who need to be involved in the training day(s) – Checking availability and how many you need for the number of employees involved in the day
- Breaks – Lunch, Coffee/ Tea breaks
- Travelling times for those employees who have to travel to and from the venue, especially if it is not taking place at the normal office and they do not live nearby. Making it fair for all those attending.
My Special Event will work with the client to draw up a detailed timetable which will be given out to all the participants of the training event letting them know what to expect from the day.
Corporate Events – Business Receptions
There are a number of types of business receptions a company can hold for employees or clients. Ranging from intimate “drinks” parties to breakfasts and receptions. The type of planning involved here would be sourcing potential venues, catering and advertising the event if this is permitted otherwise it would be an invitation-only type of event.
A less formal type of business reception would be something like a company dinner or social outing with the employees of the firm. A little more planning may be required as there are a number of things to take into consideration including:
- The venue to hold the reception at i.e. the location
- Catering/ Beverages
- Entertainment
- Transportation for employees/ guests
Corporate Events – Promotional Events
To organise a type of event like this is where the company wishes to promote something they have available. This may be a new product or service to new or existing clients.
All the materials needed to promote this event need to be planned and organised. Samples are normally arranged to hand out to help with the promotion especially if it is a new product which is being introduced.
Catering and beverages may have to be considered too, to keep your corporate clients, clients entertained and interested. Discussions between the Corporate client and My Special Place will take place at the initial consultation with regards to how long this promotional event will be and what will be included and what the client hopes to achieve from it.
Advertising and promoting
If the type of Corporate Event requires advertising and promoting this will all be discussed at the initial consultation with My Special Event. My Special Event has some contacts with local newspapers and local radio stations to help with any promotion and again with the planning and organisation can be involved as much or as little as the company wishes.
