Weddings – Where to begin?
Initial Consultation (Worth £50/hr = FREE)
My Special Event will sit down with each client at their initial consultation and discuss what ideas they have for their Wedding Day. The initial consultation will last for approximately 1hr and either the offices of My Special Event or a venue convenient for both parties. This is an opportunity to gather the information needed about the client’s event and what ideas they have. Together, My Special Event and the client will come up with a plan of action and a timetable for the wedding depending on what package the client wants. My Special Event at present offers three types of packages.
Weddings – Each one is different in their own way
Every wedding is individual and every client is different. There is no right or wrong way, My Special Event can help. All aspects of the packages will be discussed at the initial meeting with the client. If the client wishes to instruct My Special Event for their wedding then a signed contract and deposit would be required before work can commence.
The client may be subject to extra charges if extra duties are required by My Special Event and these were not discussed or agreed at the initial consultation or subsequent consultations (charged at an additional £35/hr)
Wedding Service Provided | Package Cost |
The 3 Tier Package – Full Wedding Planning (6 months to 1 yr of planning or 200 hours+) and Coordination on the Wedding Day for the couple (10 – 15/20 hours) | Typically between 5 – 7% of the total Wedding Cost (percentage depends on the amount required). A deposit of £150 to secure the date and a fully signed contract and terms will be sent to the client |
The 2-Tier Package – Partial Wedding Planning (up to 6 months of planning or between 100 – 150 hours) and Coordination on the Wedding Day for the couple (10 to 15/20 hours) | The Minimum charge for this is £800. Additional charges may be applied depending on the requirements of the couple. Extra charges at £30 per hour. Deposit of £150 to secure the date and a fully signed contract and terms will be sent to the client |
The 1-Tier Package – On-the-Day Wedding Coordination (Limited Planning involved, mostly organisation and planning the actual day for the couple) (10 to 20 hours on the day, and 10 to 20 hours before – if applicable) | The Minimum charge for this is £800. Additional charges may be applied depending on the requirements of the couple. Extra charges at £30 per hour. A deposit of £150 to secure the date and a fully signed contract and terms will be sent to the client |
All payments should be made to My Special Event by BACS payment, account details will be on the invoice. We cannot accept PayPal, Cash or Cheque payments. A receipt will be provided as proof of payment and all fees are subject to changes, depending on the exact requirements of the couple.
Wedding Timings & Planning
Weddings can take a year to plan or a few months. Again, it depends on what the client wants and if their ideas are achievable or not within that timescale. My Special Event would like to reassure clients that we will work with you to get your dream wedding day organised in time. Leaving as much time to plan is an advantage but this sometimes isn’t the case.
How long should my engagement be?
There is no right or wrong answer.
Some couples have a short engagement.
Some couples choose to postpone planning their wedding and have a long engagement, the choice is entirely yours.
Wedding Planner or No Wedding Planner?
Why should I hire a Wedding Planner?
Hiring My Special Event to help organise and run your Wedding Day will help relieve some of the stress and allow you to enjoy your event. Some people see hiring an Event and Wedding Planner as a luxury or extravagance.
Zoe Pniewski of My Special Event is on hand not to blow the budget. I will negotiate better deals for you and hopefully save you money!
What do I need to organise for my Wedding?
Depending on the size of your wedding and the budget you have in mind, the organisation of a wedding will differ from client to client. My Special Event is on hand to help with the little and the big things.
Things to consider:
Engagement Party: If you haven’t had one and would like one. I can help to arrange the whole event:
- Venue
- Equipment needed
- Entertainment
- Food and beverages
- Decorations
- Invitations.
Checklist:
Venue:
- Organising a venue for your ceremony and reception – Church/Hotel/Barn/ alternative venues.
Wedding Ceremony :
- Officiant fees
- Marriage licences
- Venue fees and checking of contracts and documents.
- Timings for the Ceremony
- Readings – Religious or Non-Religious
- Style and Theme, Decor for Ceremony
- Order of Service
Catering for your Wedding:
- I can help organise a caterer, and a menu-tasting session (if applicable), negotiate menus and sort out choices for you.
Beverages:
- Organising the drinks for your reception.
- If the drinks are provided at your venue My Special Event will discuss, timings and choices.
- Alternatively, if you require a mobile bar I can source one for you, discussing options and sorting out the set-up and clearing up of these services.
Decorations:
- Liaising with and contacting the venue decorators and suppliers
Wedding Flowers:
- Discuss ideas for your flower arrangements, flowers for the bridal party, ceremony and reception. I can put you in touch with or liaise with flower suppliers – Fresh and artificial
Formalwear/ BridalWear:
- Do you want to buy or hire? My Special Event can put in you in touch with recommended suppliers and arrange appointments.
- Alternatively, this may be something you wish to do yourself. I am there for any advice or questions you may want to ask.
Wedding Photography/ Videography:
- Do you want a photographer and a videographer either or both? I can discuss with you options and recommend local suppliers.
Entertainment/ Music/ Bands/Singers/DJ’s:
- Unsure what you want for your ceremony and reception? I can help you by recommending suppliers and researching and resourcing examples of suppliers’ work.
- Negotiating fees and deposits.
Transportation for the Bridal Party and Others:
- Have you thought about how you will get to your ceremony?
- How will you get to your reception?
- If not I will be on hand to help you, source suppliers, maybe a local vintage car, a London bus or a milk float.
Other ideas and items for your Wedding:
- I will be on hand to mention and recommend anything you may have forgotten or not even thought of for your wedding….party favours, gifts, photo booths, Love Letters, and accommodation for you and your guests.
The above is only a guide to what can be organised at a wedding. Obviously, every wedding is unique and part of My Special Event’s commitment to their clients is to offer an individual and personal experience. This is why we feel the initial consultation is important for a wedding so that both parties can hopefully sing from the “same hymn sheet”!
